Privacy notice
Draft, last updated 9 October 2026. Items marked OWNER TO CONFIRM are placeholders awaiting confirmation by Ultimate Vision Ltd before this notice is final.
Who we are
GardenCode is a service of Ultimate Vision Ltd, a company registered in England and Wales, based in Gateshead, UK. Contact: info@ultimatevision.uk.
OWNER TO CONFIRM: company registration number, registered office address and ICO registration reference.
What we collect
When you use the enquiry form we store: your name, email address, phone number, trade, business postcode, anything you type in the message box, the date and time, your IP address and browser identifier. The IP address is used for rate limiting and abuse prevention only.
Why we collect it
To respond to your request for a free enquiry check and, if you go ahead, to deliver the enquiry capture and follow-up service. The legal basis is our legitimate interest in responding to a request you made, and, if you become a customer, performance of the contract.
Where it goes
Details are stored in a database on a server run by Ultimate Vision Ltd, outside the public web folder, and an email copy is sent to our inbox. We do not sell or pass on your details to third parties.
OWNER TO CONFIRM: hosting provider name and the country where the server is located.
AI use
Parts of the service use AI tools to draft replies and sort enquiries. A person at Ultimate Vision Ltd reads what is sent in your name. If you become a customer, your own customers' enquiries will also pass through these tools; this will be set out in the service agreement.
OWNER TO CONFIRM: which AI providers are used and whether any data leaves the UK or EEA.
How long we keep it
Enquiry form details are kept for 12 months after the last contact, then deleted, unless you become a customer, in which case they are kept for the length of the agreement plus the period required for accounting records.
OWNER TO CONFIRM: retention period.
Your rights
You can ask us to show you, correct, export or delete the details we hold about you, or object to our use of them. Email info@ultimatevision.uk. You can also complain to the Information Commissioner's Office at ico.org.uk.
